AI Appointment Booking Agent (Generic)

Lets customers book, move and cancel their own appointments in the chat on your website. It reads your real Google Calendar, offers only times that are genuinely free, checks the slot again at the moment of booking so two people cannot take the same one, and puts the appointment straight into your calendar with the customer's details on it. It never invents a time and never asks for payment details.

How it works

A visitor opens the chat on your website and says what they need. The agent works out which of your services they mean, reads your Google Calendar, and offers two or three times that genuinely fit — the right duration, inside your opening hours, with your buffer between jobs, and nothing that clashes with what is already in the diary. Every time it offers is worked out in code, not by the model. If the calendar cannot be read, it says so and offers to pass the request to your team rather than guessing. It will never invent a slot. When the customer picks a time, the agent reads the diary again before it books. That second read is the double-booking guard: the slot was free when it was offered, which is not the same as free now. Only if it is still free does the appointment get created, with the service, the customer's name and their contact details on the event. If someone took it in the meantime, the customer is told plainly and offered what is left. Customers can also change their mind. Asking to move an appointment re-checks availability and shifts the times, keeping their invitation, their contact details and their notes exactly as they were. Asking to cancel removes it. Both of those go through a check first: the agent can only touch appointments this booking assistant created. Anything else in your calendar — a meeting, a personal entry, a booking made another way — is refused and sent to a person, however the request is phrased. The agent itself holds no way to write to your calendar at all; changing and cancelling are separate, guarded steps. It tells people it is an AI assistant when asked, states your booking policy where it applies, and never asks for card details. If a deposit is required, it says so and tells the customer a person will arrange it. One honest limit: there is a second or so between the final availability check and the booking being created. In that window a clash is still theoretically possible. For a small business booking widget that is the right trade — the alternative adds a second source of truth for no real gain. You need one connection: Google Calendar.

Installation

What setting this up involves.

Connect Google Calendar when the install asks for it. Enable the read actions plus Create Event, Patch Event and Delete Event — the bundled guard uses the last two, not the chat agent.

Fill in your business name, description and timezone.

List your services, one per line: name, how long it takes in minutes, whether it is remote or online, and any note. These are the only services the agent can book.

Set your opening hours, one rule per line — for example 'Mon 09:00-17:00', 'Sat closed', or a specific date like '2026-12-25 closed' for a holiday.

Choose how far ahead people may book and how much buffer you want between jobs.

Write your booking policy — deposits, notice periods, cancellation fees, what to have ready. The agent quotes the relevant part exactly and never waives it.
